Digitilization of Documents
Digitalization is important in data processing, conversion, storage and transmission. It allows transmission of all forms of information in different formats with easy and efficiency. Digitalization is the conversion of analogue information to digital format (Courteille, Frédéric, 301). It allows organization of data into bits that can be isolated and addressed separately. Digitalization of data allows for automation which resulting in greater efficiencies. It allows access to information from any location at all times, allows transfer of documents and increases productivity.
Documents digitalization is one of the best examples of digitalization. Documents digitalization has three main characteristics. They consume less space, allow for protection of records and allow better access to information and records. Stacks of papers consume a lot of space and increases storage costs while records are also prone to unauthorized access. Digitization also allows for preservation of documents for longer and mitigating risks associated with the presence of single copies of physical records. Digitalization supports better access to information, increases efficiency and improves on productivity and quality (Courteille, Frédéric, 302). For instance, if someone wants to access information from a document which is not digitalized, they will have to go to the physical location. However, it the document was digitalized, they would have gained easier access, saved time and associated costs.
Although, digitalization has eased access to information, storage and preservations it may also make data prone to manipulation because of the increased interactions between users and data. There are people who are not satisfied with the use of digitalized content. For instances, some readers prefer physical documents than the digital and thus their needs may not be adequately meet through digitalization. Additionally, lack of digital literacy may hinder one to access vital information.
